Parent reminders- Child company SOA inclusion

Users of Parent<>Child capability will now be able to share SOAs within reminders of all the child companies part of the statement. This enhances the Parent<>Child usability further.
In-thread reminders
Users will now be able to send follow-up reminders within existing threads of single invoice reminders or statements reminders. This has been a long requested capability from our customers which will now be possible for them to use.
Payout automation
OCTA handles payouts by mapping collected payments to creditor invoices and maintaining ledgers. Payouts run twice a month via Paymob, with an option for instant transfers. Creditors get a dashboard and reports for full visibility. Notifications and downloadable reports (PDF/CSV) are provided after each payout for transparency.
Support email field

Creditors can now add their support email directly in settings. This email will automatically appear for users at key touchpoints, including reminder footers, no manual setup needed.
Whatsapp conversation
Users will now be able to reply to all Whatsapp replies through the communications platform without having to reply in templatised formats. This can be an actual conversation.
Auto-charge multi attempts + custom attempt
We have enabled the platform with multi attempts on auto-charge in case the scheduled attempt on due date fails. We also enable users to attempt auto-charge for old invoices manually
Whatsapp delivered and seen status + failure logs
Users will now be able to see which of their Whatsapp messages got delivered/seen or failed on the communications platform.
Brand logo size customization
Long standing issue of logo size on the email template gets solved with this. We are giving the size choice to the users and they can resize the logo according to their preference now.

Users are now enabled to fully customize the email reminder template. This includes addind/removing signature, invoice details, pay now section and even the text bod
Discount filter for discounted

We have enabled the platform with discount filter which fetches all the invoices on discount right now.
Manual statement reminder
Previously, sending manual reminders for multiple invoices meant customers received separate emails for each one — creating unnecessary hassle. Now, when you select multiple invoices for the same customer, a single consolidated statement reminder is sent instead. Simpler for you, smoother for them.
Customer payment link
Now, users are able to create a custom payment link for a customer to collect upfront payment from customers.
OCTA API key
As we open up our APIs, users can now generate API keys directly from the Advanced Settings. Quick, secure access — so you can integrate OCTA with the tools you already use.
Advanced settings UI revamp
We’ve restructured the Advanced Settings interface to make it cleaner, more intuitive, and ready to handle the growing list of new features and configurations.
Workflow duplication
A quick access to duplication of the entire workflow with all the reminders within it is what has been released. This saves a lot of time for users who want to create an almost identical workflow for some of their other customers but with minor change. Now, they won't have to create that workflow from scratch.
Holiday reminder pause
Users will now be able to mention the list of holidays/weekends during which the reminders need to be paused and the same has been. implemented. In cases where the reminders were supposed to go on that, those reminders will be sent on the next working day either individually or added in the statement reminder (if other reminders were already scheduled)
Month variables included in templates

Users will now be able to add the month of issue and due date as variable in the template to provide even more flexibility and customisability for each creditor.
Task creation for Bank transfer initiated
We will be creating a task for the creditor once any of their customer initiates the intimation of bank transfer from the payer flow. The task creation is also accompanied with instant mail acknowledgement.
Payment receipts to be sent via Creditor domain
The payment receipts earlier used to go out from OCTA domain which wasn't the correct approach and hence we changed it to go out from the custom domain of the creditor in order to achieve post payment consistency as well.
Microsoft 360 business central integration
Users now will be able to connect to Dynamics 365 from OCTA as we have built the integration to fetch all the data we fetch through other accounting softwares as well.

Communications module revamp

Email signature
Users will now be able to add their email signatures and add those signatures to templates they want. These signatures will be added between the customized written template and the payment template.
AI Agents: New customer creation while creating invoice
Users now won't need to create a customer separately first and then create an invoice for that customer through AI agents. The flow is integrated while creating a new invoice itself where a new customer is created on the go.
AI Agents
We’ve now launched 5 Finance AI agents: Invoice, Contract, Follow-up, Payment, and Reporting agents. Additionally, we’ve introduced the Finance Manager Agent, which oversees all the agents and ensures they function smoothly.
User roles - AR specialist and Read only
We’ve added 2 new user roles on OCTA: AR Specialist and Read-Only. These roles have specific access to modules on the platform, offering more tailored permissions.
Linking OCTA <> Client WA account capability
User who have their own Whatsapp business account can now provide the access to us and we will be able to trigger all our Whatsapp reminders using their account which gives the users full operability on the display name of the account to their customers.
Transaction fee customisation (Pass-on to customers)
Users will now be able to customize the % processing fee pass on to customers on our platform. Customizability at the currency level and type of card level is also provided.
Partial paid data storage from Zohobooks & Wafeq
Till now, partial payment data was not stored when invoices synced from accounting software. This update includes the partial paid data which which help us streamline a lot of things while reporting and dashboarding.
AI contract creation
Users will now be able to create contract by just giving prompts to AI. We are also giving users full flexibility in order to manually edit the contract as well. Once the contract is created, the original contract to cash flow will auto-resume
Contract to Cash Onboarding
We have created a separate onboarding flow for Contract to cash users which can be accessed via new registration link. This will help all the C2C specific users to be able to experience the flow uninterrupted and in a seamless way.
Pre-Register AI agent
We now have a separate URL for trying the AI agent. When a user enters a prompt, they will be asked to log in or register. Once the registration is complete, the prompt will be auto-executed, and the user will be directed to the AI agent screen.
Customer <> Account Owner Linkage
Now we have the ability to link customers to their account owners (creditors). This is a significant update, especially for enterprises, as it allows them to tag customers accordingly. The update also includes a global account owner filter on the dashboard and a dedicated "Account Owner First" report in the reports section. Moving forward, account owners will be assigned the "Account Owner" user role, which will grant them access to the platform only for their tagged customers.
Partial paid data storage from Xero
Previously, partial payment data was not stored when invoices were synced from accounting software. With this update, partial payment data is now included, helping to streamline reporting and dashboarding processes.

AI Agent - Bulk enable/disable workflow for invoices/customers
This use case allows users to enable or disable workflows (e.g., payment follow-ups, invoice approvals) for multiple customers or invoices in bulk, using identifiers like customer names or invoice IDs.
Oracle Autosync
With this release, we've added Autosync functionality for Oracle accounting software. No more manual syncing of Oracle client data—it's all automated now. This update streamlines data transfer and saves time for our users managing Oracle accounts.
Self serve Whatsapp template creation
User will now be able to create their own Whatsapp reminder templates on OCTA. These templates will be under review once created, post review once the template goes live then the users can use that template to set on a reminder.
Partial paid invoice sync handling from Quickbooks
Reverse sync now supports partial payments. Previously, only full payments were synced, causing invoices with partial payments in OCTA to revert back to old data on next day's autosync which will not be happening now.
Invoice PDF in Contracts
Previously, invoices created through the Contracts flow didn’t support including PDF attachments. With this update, you can now automatically include invoice PDFs when generating future invoices from contracts, making the process smoother and more efficient.
Workflow Status Toggle on Customer Table
To enable or disable workflows for specific customers, users previously had to open the customer details modal, navigate to the workflow section, and make changes. With this update, all of this can now be done with a single click directly from the customer table, improving ease of use and efficiency.
Collection charts on Dashboard

Users will now be able to visualize their AR vs Collections data at an Entity as well as month on month basis.
Contract <> E-Sign <> Automated Invoicing
Users can now independently upload contracts, e-sign, and approve automated invoices without restrictions. This update improves the previous flow, where once the steps were completed, users could no longer approve additional invoices or send the contract for e-signing later.
Weekly tasks reminder

The Weekly Tasks Reminder feature automatically sends a consolidated email to creditors summarizing all their pending tasks every Thursday. This helps users stay on top of their to-dos and improves task completion rates.
New Dashboard Update
The dashboard initially had 4 views. This update expands it to 14 total charts, offering users a more comprehensive visual representation of their financial and follow-up data.
Now, users can access these charts with global filters and drill-down views, providing deeper insights and enhanced flexibility in data analysis.
Reports (High-Risk Customers and Payments)
We’ve made 2 new reports live in the reports section:
- High-Risk Customers Report: This report identifies customers for whom we don’t have email IDs, highlighting the risk of non-payment due to the lack of follow-ups.
- Incoming Payments Report: This report provides a complete list of all incoming payments, along with detailed payment information, for better tracking and management.
Invoice Discounting + Fixed Late Payment Fee
A key client requirement has been fulfilled with the introduction of invoice discounting and a fixed late payment fee.
Users can now apply time-bound discounts to invoices, encouraging early payments.
Additionally, a fixed late payment fee can be set to apply automatically after the due date, creating a scalable solution for late payment management.
Xero Multi-Entity Support
Xero users on our platform can now connect separate Xero entities to individual OCTA entities, preventing the merging of data from different entities into one. This update provides better organization and flexibility for multi-entity users.
Auto-forward customer mails if reply doesn't include creditors
Automatically forward customer replies to OCTA’s invoice reminders if the creditor is not included in the "To" or "CC" fields. The system will forward the email on the same thread, ensuring all creditor email addresses are included, and will repeat this process for every reply on the thread where the creditor is missing. This use case happens today if the customer 'reply' instead of 'reply to all'.
Rule based task creation
With the new Rule based task creation, users can now create rules that automatically generate tasks based on specific conditions. Some of the use cases include:
- Task creation for invoice delays
- Task creation based on the number of invoices due
This update streamlines task management and improves workflow automation.
Invoice PDF Improvements
Users can now add PDF notes while saving the template. Additionally, when a customer address is added during PDF creation, it will be saved and auto-populate for future PDFs of the same customer.
Delete workflow and templates
Users can now delete unused workflows and templates from the reminders section which would earlier clutter the module for those creditors.
AI Intent Detection + Actions Use Case Addition
We’ve been monitoring replies on payment reminders, and one frequent response is related to disputes over invoices or payments. With this new detection use case, our AI automatically creates tasks for these users, highlighting the issues and triggering an email reminder for creditors—ensuring no issue goes unnoticed.
Corporate Gmail Account Integration
We’ve integrated Gmail accounts for corporate users, simplifying communications—especially for small businesses where Gmail is the primary tool. This integration is now live on the frontend.
AI Agent - Instant Reminder
Our AI Agent is smarter than ever! It now allows you to send instant invoice reminders on the go, keeping you on top of your follow-ups.
Parent <> Subsidiary FE upgrade
This update streamlines the management of parent-subsidiary relationships with a more intuitive toggle-based interface. It retains all previous functionalities, such as linking multiple customers to a single parent and sending reminder communications only to the parent. The upgrade, along with the new UI, now allows users to edit parent details and manage the linked companies directly.
Auto-charge: Customer Selection
Creditors can now select which customers they want to enable for auto-charge. This new capability allows automatic invoicing on the due dates, improving collection efficiency and reducing DSO.
New Dashboard (Limited Release)
The new dashboard, currently available for limited creditors, marks our first step towards enhancing reporting and insights based on user feedback. While the dashboard currently has limited views, it offers 10x improvements over the old version in speed, flexibility, customizability, and drill-down views. This new capability opens up a variety of options for delivering world-class insights reporting.
AI Intent Detection + Actions Use Case Addition
We’ve been monitoring replies to our payment reminders and noticed frequent requests to change the communication email due to reasons like staff changes or email updates. To address this, we’ve enhanced our AI to detect these intents and automatically create a task for the creditor in OCTA. Additionally, an email notification is sent to remind the creditor that action is needed to update the email address.
Pause Reminders for Invoices with Small Balances
We’ve added the ability for creditors to pause reminders for invoices with minimal remaining balances. In cases where a payment of AED 995 is made on an AED 1000 invoice, reminders for the remaining AED 5 would continue triggering, causing confusion. Now, creditors can choose to pause reminders either for invoices with a specific remaining amount (e.g., AED 5) or a percentage (e.g., 5%) of the invoice amount.
Upgraded AI Agent
The newly upgraded AI Agent can now handle invoice and customer creation, in addition to managing queries and generating reports. This update provides users with a much improved UI, as promised in the last release. While this is a significant step forward, there's still more to come.
Next Steps: The next phase includes adding instant reminders and bulk workflow updates to the AI Agent, offering even more options to streamline processes for our users.
Handling multiple bank accounts with dynamic details

Enabling addition of multiple bank accounts on OCTA. This also comes with dynamic pick of details based on the country of the bank. Users can also select their primary bank account.
Default reminder assignment to new creditors

Creditors can set a default workflow for all of their new customers which helps them by auto assigning the default workflow they have selected to be assigned to all customers added manually or through sync.
AI agent - Invoice and Customer creation
The upgraded AI Agent can now handle invoice and customer creation, in addition to managing queries and generating reports. We are currently working on further improving the UI for these new capabilities.
Auto-sync frequency self serve
Users with auto-sync enabled for at least one accounting software can now set their sync frequency to daily or specify custom days of the week via Settings → Advanced Settings. When selecting custom days, users must choose at least one day, and the selected schedule will be displayed in the header (e.g., "Monday, Wednesday +1 more").
Communication module revamp
The Communication module has been revamped to include a chronological view of all email communications with each customer, presented in a structured format. Users can now initiate emails directly from the module, helping them avoid getting lost in long email threads and easily find the messages that need a response.
Simplified WhatsApp Reminders

We’ve streamlined the approach to WhatsApp reminders with a sleek, single template for all types of reminders. The Pay Now button in the WhatsApp template is now customized to a global pay button for statement reminders as well, providing a more consistent and user-friendly experience.
AI Call Handling: Expanded Use Cases
We’ve expanded the AI call handling capabilities to support more collections use cases. The model now understands how to respond to scam or incorrect person replies, and we’ve also reduced the speech rate for improved clarity.
Manual trigger choice (Email or Whatsapp)
The new manual send reminder trigger will ask the mode of communication (Email or Whatsapp). Based on the choice the default template of either will be used to send the reminder instantly.
Account Setup UI Upgrade
We’ve upgraded the Account Setup UI in Settings using Tailwind components designed according to the new design system, offering a more streamlined and intuitive experience.
AI Response for Customer SOA Requests via Email
OCTA’s AI can now automatically respond to customer requests for a Statement of Account (SOA) via email. This enhancement solves a key use case for our creditors in real time and sets the stage for handling more intents in the future.
Invoice PDF Customization
As of yesterday, users couldn't generate PDFs for invoices on our platform—well, that changes today! Now, users can customize PDF templates to their liking and use them when creating and sending invoice reminders.
SOA attachments
SOA stands for Statement of account which is constantly requested by customers over emails to check transactions. This issue will also be resolved now that we have launched SOA's attached in reminders.
Arabic Language Support for Key Modules
Arabic readers can now switch three key modules—Invoices, Reports, and Invoice Financing—to Arabic. While this capability is in place, full platform-wide support isn’t yet live. The migration of additional modules will continue, with more updates coming soon.
Monthly and Weekly report to creditors

We’re rolling out a Monthly Report featuring key success metrics, along with a Weekly Collection Status Report for our creditors (CFOs, Finance leadership, etc.). These reports will help streamline quick decision-making and keep OCTA top of mind.
Auto-Charge Customers with Saved Card Details
For long-term convenience, creditors can now specify which customers should be on Auto-charge. Our system will automatically deduct due amounts from pre-saved card details on the respective due dates.
Weekday-Specific Reminders
Our new Weekday-Specific Reminder capability allows users to set reminders based on specific weekdays. For example, you can now set an email reminder for the 1st Monday of each month or a WhatsApp reminder for the 2nd Thursday.
Bulk Invoice Payment

No more paying for individual invoices! With our new Bulk Invoice Payment feature, payers can now settle all outstanding invoices at once when receiving statement reminders.
Monthly performance mailer
We are initiating the Monthly performance mailers to our creditors containing metrics like $ saved, time saved, DSO, Aging and Payment efficiency. This will help users track their basic success metrics on a monthly basis.
Customer ledger report
The long-awaited Ledger Report is now available! Users can now fetch the ledger report for all their customers directly from the Reports section.
Invoice statement PDF attachment
Invoices now come with PDF attachments, even for invoice statements. This update makes it easier for users to keep track of all invoice-related documents.
Payment link added to Invoice details

Users can now directly copy the payment link for each individual invoice from the invoice details modal, making it easier to share and transfer payments.
