Cross-referencing rule
Each schedule references the ones above and below it: a lead schedule (B) references its detail (B-1) and ties up to the trial balance (A-2). Numbers agreeing across workpapers get a matching tickmark.
How to use this template
Assign the letter section first — balance sheet accounts get B through G, income statement P through R, deliverables Z — then number the detail within each. The index is a live document: update the prepared/reviewed/status columns as the file progresses so a partner can see at a glance what's outstanding. The value is in the referencing discipline: every balance on a lead schedule points down to its support and up to the trial balance, so a reviewer can trace any number end to end without asking where anything is.
Common mistakes and tips
- Inconsistent references across engagements. Use the same scheme every time so staff don't relearn the file each period.
- A static index. If the status column isn't maintained, the index can't tell you what's left. Keep it current.
- Orphan workpapers. Every schedule should reference and be referenced by another; a workpaper nothing points to is a sign something's missing.
- No reviewed column. The index is also your review-status tracker — use it.
Run this template automatically in OCTA Flow
Assembling and referencing a workpaper file is exactly the organizing work that eats junior hours. In OCTA Flow, an engagement produces its workpapers as it runs — reconciliations, agings, lead schedules — already referenced and logged in the audit trail, so the index effectively builds itself. Flow tracks preparation and review status, applies Quality Gates before output reaches your queue, and keeps a record of who prepared and reviewed each item. See AI workpaper automation, pair it with the audit lead schedule template, and run it inside the accounting engagement checklist.
Frequently Asked Questions
What is a workpaper index? The table of contents for an engagement file — it lists every workpaper, gives each a consistent reference (like B-1), and tracks preparation and review status so anyone can navigate and trace the file.
How does the index relate to lead schedules? The index organizes the whole file; each lead schedule is one referenced item within it that ties a financial statement caption to the trial balance and its detail.
